IT for Small and Medium Businesses
We can be your IT department, or take care of your IT alongside the people you already have. One accountable partner for computers, email, the network, security, backups and the vendors, instead of a pile of separate contracts.
Most small businesses don't have an IT problem so much as an IT pile: a software subscription here, an internet provider there, a laptop someone set up years ago, passwords in a notebook, and a backup nobody has tried to restore. When something breaks, it's never clear who to call, and each vendor points at the next one.
Virtual Merlin takes that pile and makes it one thing to manage. We learn how your business works, write down what you have, fix what's fragile, and then look after it, either as your whole IT department or as backup for the IT person you already rely on. You get one place to go when something stops working, and someone who knows your setup.
Our founder has spent more than 20 years in the small and medium business market, through every phase a business goes through: startup setup, growth, office moves, acquisitions and mergers, modernization and transitions. We also do enterprise infrastructure work, and we bring that discipline with us: documentation, backups that are actually tested, planned changes with a way back, and accounts that belong to you. It's sized and priced for a smaller business, not copied from a corporate playbook.
Three ways to work with us
Your IT department
Fully managed IT. We look after your people, devices, network, email, security, backups and vendors, and we plan ahead with you. Good for businesses with no IT staff, or an owner who has been doing it after hours.
Co-managed IT
You already have an IT person or a small team. We back them up: we take the projects, the specialist work, the overflow and the vacation cover, and leave them in charge of the day to day.
Project-based
A defined job with a start and an end: an office move, a Microsoft 365 migration, a new server, a network upgrade, a security cleanup or a backup that finally works. Scoped and priced up front.
Pick the arrangement that fits
- Flat monthly managed IT: one predictable fee for an agreed scope
- Hourly: pay for the time you use, when you need it
- Prepaid blocks of hours: buy time ahead and draw it down
- Fixed-scope projects: a written scope and a price before we start
Many clients combine them, for example monthly support plus a fixed-price project. We don't publish prices because every business is different: contact us for a quote.
Support hours and where we work
- Support hours and response times are agreed up front in your service agreement, including after-hours and emergency options
- On-site support in the Black Hills and across South Dakota
- Remote support for businesses anywhere in the United States
- Everything we set up is documented and handed to you
What we take care of
Help desk and everyday support
The "my email won't open" and "the shared drive has vanished" problems that eat a morning. Your staff get one place to ask for help, and we fix the cause instead of the symptom when the same thing keeps happening. When someone joins, we have their account, laptop and access ready on day one; when someone leaves, their access is shut off the same day and their files are kept.
Microsoft 365, Google Workspace and email
Setup, migration and day-to-day management of email, calendars, Teams, SharePoint, OneDrive, Google Drive and shared mailboxes. We sort out the licences you're paying for but not using, put file sharing somewhere sensible, and make sure the company, not one employee, owns the admin accounts.
Networking, Wi-Fi, firewalls and remote work
Office networks and Wi-Fi that cover the whole building, firewalls that are kept up to date, a guest network that's separate from the business network, and secure remote access (VPN or cloud-based) for people working from home or on the road.
Security basics, done properly
Most small-business breaches start with a stolen password or a phishing email, not a movie-style hack. We put the basics in place and keep them there:
- Multi-factor authentication (MFA) on email and every important account
- Endpoint protection on every computer, managed and monitored
- Regular patching of operating systems and the apps people actually use
- Backups that are tested, not just scheduled
- Phishing awareness for staff, in plain English
Compliance and security questionnaires
If your business handles health records, card payments or defense contracts, or your cyber-insurance renewal arrives with a long security questionnaire, we help you work through it: which HIPAA, PCI DSS or CMMC requirements apply to you, where the gaps are, the controls to put in place, and the documentation your auditor, assessor or insurer will ask for.
Backup and disaster recovery, sized for a small business
We find out what you can't afford to lose (the accounting file, the shared drive, the line-of-business database, email) and how long you could work without it. Then we back it up in more than one place, including a copy that ransomware can't reach, and we test a restore so you know it works. For larger estates with replication and recovery-time targets, see disaster recovery and business continuity.
Servers, virtualization and cloud
Some businesses need a server in the office; many need less than they have. We recommend what fits the business, whether that's Microsoft 365 and nothing on-site, a small Hyper-V or Proxmox host, VMware, or Azure, and we explain the cost of each. When VMware is the right answer, the same engineers who handle enterprise VMware work do yours.
Devices from purchase to retirement
We recommend and source laptops, desktops and network gear, set them up the same way every time, keep a list of what you own and when the warranty ends, and plan replacements before they fail. When a device is retired, we wipe it properly and record it.
Vendor management: we deal with the vendors
Internet providers, cloud services, software vendors and the line-of-business applications your business runs on. When something goes wrong, we open the ticket, make the call and stay on it until it's fixed. When a contract is up for renewal, we tell you what you're actually using.
IT planning, budgeting and virtual CIO guidance
A plain-English view of where your IT is, what needs to change, and what it will cost over the next year or three, so equipment and licences stop being surprises. We help you weigh decisions like moving to the cloud, replacing a line-of-business app or opening another location, the way an in-house IT director would.
Websites, custom software and private AI
We also build business websites and web apps, custom Windows tools, and private AI that lets a small office search and summarize its own documents without sending them to a public service.
Enterprise discipline, sized for a smaller business
The habits that keep large environments stable work just as well in a 15-person office. They just need to be lighter.
- We learn your business first. Who does what, which systems matter most, and what a bad day would cost, before we recommend anything.
- We document everything. Your network, accounts, devices, vendors and how things are set up, in a form you can read and keep.
- Nothing changes without a plan and a way back. Changes are scheduled, explained beforehand and reversible if something goes wrong.
- You own your passwords, accounts and documentation. Admin accounts are in the company's name, and if you ever leave us, everything comes with you.

Through every stage of your business
A five-person startup and a 150-person company that just bought a competitor need very different things from IT. We've worked with businesses at every stage: getting set up, growing, opening or moving offices, merging, modernizing and handing over. See what usually goes wrong at each stage, and what we do about it.
Frequently asked questions
Can you be our whole IT department?
Yes. With fully managed IT we look after your staff support, devices, email, network, security, backups and vendors, and plan ahead with you. You get one accountable partner instead of several vendors.
We already have an IT person. Can you work with them?
Yes. That's co-managed IT. Your IT person stays in charge of the day to day, and we take the projects, specialist work, overflow and cover for time off. Many businesses start here.
Is our business too small, or too big, for you?
No. We work with businesses of any size, and the arrangement scales with you: from a few hours a month to being your whole IT department.
Can you help with HIPAA, PCI, CMMC or cyber-insurance questionnaires?
Yes. We work out which requirements apply to your business, close the gaps, and produce the documentation your auditor, assessor or insurer will ask for.
How do you charge?
Pick what fits: a flat monthly fee for managed IT, hourly, prepaid blocks of hours, or a fixed price for a defined project. Many clients combine them. We don't publish prices; contact us for a quote.
What are your support hours and response times?
They're agreed up front in your service agreement, including after-hours and emergency options, so you know exactly what to expect before anything goes wrong.
Do you come on-site?
Yes, in the Black Hills and across South Dakota. We also support businesses anywhere in the United States remotely.
Who owns our passwords, accounts and documentation?
You do. Admin accounts are set up in the company's name, and the documentation we write is yours. If you ever move to another provider or hire in-house, everything goes with you.
Can you deal with our internet provider and software vendors?
Yes. We open the tickets, make the calls and follow up until the problem is fixed, so you don't have to sit on hold or work out which vendor is responsible.
